Bilingual Front Desk Scheduling Coordinator

McAllister Orthodontics is seeking a Bilingual Front Desk Scheduling Coordinator to join our dynamic team. As the first point of contact for our patients, you’ll play a crucial role in creating a positive and welcoming experience while ensuring our daily schedule runs smoothly and efficiently.

Responsibilities

Warm Welcome and Communication:

  • Create a friendly, welcoming environment for patients and visitors.

  • Exhibit excellent and professional verbal and written communication skills.

Patient Check-In and Check-Out:

  • Assist patients with check-in by ensuring all paperwork, contact information, payment details, and insurance information are updated.

  • Schedule and confirm follow-up appointments during check-out.

Schedule Management:

  • Maintain a productive daily schedule by reviewing upcoming weeks and proactively contacting patients to fill appointment slots.

  • Keep the Google calendar accurate and up to date.

Patient Interaction and Support:

  • Encourage participation in marketing promotions and initiatives.

  • Respond promptly to patient inquiries via phone, voicemail, and email.

Administrative Duties:

  • Organize and scan patient documents into the practice software.

  • Verify patient financial information using practice systems.

  • Ensure front reception and restroom areas are clean, organized, and stocked.

Team Collaboration:

  • Support team members by contributing to an efficient and well-coordinated work environment.

Qualifications

  • Strong organizational skills with an attention to detail.

  • Ability to multitask and prioritize tasks effectively.

  • Proficient in using scheduling and practice management software.

  • Exceptional customer service and interpersonal skills.

  • Previous experience in a similar role is a plus but not required. On-the-job training is available.
