We are a growing construction company with approximately $6M in annual revenue, focused on delivering high-quality projects with strong financial discipline and operational efficiency. We are seeking a detail-oriented Project Controls Specialist to support project financial tracking, cost control, and reporting.
Position Summary:
The Project Controls Specialist is responsible for managing project financials, tracking costs, supporting budgeting and forecasting, and ensuring accurate data flow between field operations and accounting systems.
Key Responsibilities:
- Project Cost Tracking & Control
- Monitor and track project costs against budgets
- Identify cost variances and work with project managers to address issues
- Maintain up-to-date job cost reports
- QuickBooks Management
- Utilize QuickBooks for job costing, invoicing, and financial reporting
- Ensure accurate coding of expenses, labor, and materials
- Monthly reconciliations for project financials with company accounting records
- Budgeting & Forecasting
- Assist in developing project budgets and cost projections
- Update forecasts based on actual costs and project progress
- Support cash flow planning and financial forecasting
- Reporting
- Prepare daily/weekly and monthly project financial reports
- Provide insights on cost performance and profitability
- Support leadership with financial data for decision-making
- Assist with W.I.P. reporting
- Contract & Change Order Tracking
- Track contract values, change orders, and billing status
- Ensure all approved changes are reflected in project budgets and QuickBooks
- Collaboration
- Work closely with project managers, field staff, and accounting
- Ensure timely and accurate flow of financial information from the field
Qualifications:
- 5+ years of experience in construction project controls, accounting, or project administration
- Strong working knowledge of QuickBooks (required)
- Experience with job costing in a construction environment
- Proficiency in Microsoft Excel (budgeting, tracking, and reporting)
- Strong attention to detail and organizational skills
- Ability to manage multiple projects simultaneously
Preferred Qualifications:
- Experience working in small to mid-sized construction companies
- Familiarity with AIA billing and construction contracts
- Understanding of construction workflows and cost structures
