Pay Range: $20.57 - $28.98
 
NATURE OF WORK
This is responsible clerical and secretarial work requiring the exercise of independent judgment, initiative and mature discretion. 
 
Work involves responsibility for performing complex office duties and some delegated administrative details in relieving a superior of considerable administrative and procedural work. Employees in this classification work within in framework of existing policies and procedures.  Assignments are made in terms of goals to be achieved, with work being subject to only routine checks. Supervision is received from an administrative superior.
 
EXAMPLES OF WORK PERFORMED
ESSENTIAL FUNCTIONS
The following examples of work are illustrative only and are not intended to be all inclusive:
  • Responsible for purchase requisitions, orders and returns of products & services.
  • Determines the account numbers and posting of all invoices for the department; records paid invoices in spreadsheet for library and reconciles invoices in Horizon (the library’s integrated computer system).
  • Responsible for the daily deposit of any monies received.
  • Reports to Village Clerk of Inglewood the number of Inglewood resident cards twice a year for reimbursement.
  • Monitors and orders all office, library and cleaning supplies,
  • Interviews callers and tactfully answers requests; screens calls and walk-in customers and answers or tactfully re-routes less important questions and complaints; makes and cancels appointments for Library Director.
  • Types letters, agendas, memoranda, correspondence, reports, requisitions, lists, forms, and other materials,
  • Operates adding machines, photocopying machines, and miscellaneous office equipment.
  • May receive citizen complaints.
  • May be required to attend training, workshops, conferences and meetings.
  • Performs related work as required and other duties as assigned.
 
DESIREABLE KNOWLEDGES, ABILITIES AND SKILLS
  • Thorough knowledge of business English, spelling, arithmetic, punctuation, filing and grammar, and possession of a superior vocabulary.
  • Considerable knowledge of technical and commonly used governmental terminology.
  • Knowledge of and use of modern office and computer software and systems. (Software including Microsoft Office and department specific programs).
  • Ability to organize files both electronically and hard copy for easy retrieval.
  • Ability to deal with the public and other employees courteously and tactfully and to elicit information effectively, and to convey concise and accurate explanations of ordinances, policies, procedures, and requirements.
  • Ability to carry out with limited supervision, continuing assignments requiring the organization and presentation of material and the making of decisions.
  • Ability to develop and refine office and clerical procedures.
  • Ability to make decisions recognizing established precedents and practices, and to use resourcefulness and tact in meeting new situations.
  • Ability to establish and maintain effective working relationships with other employees, department heads, and the general public.
  • Ability to effectively and accurately handle and balance money and financial transactions.
  • Skill in the operation of data input devices including alphanumeric keyboards.
  • Skill in operating standard office equipment (multi-line phones, copier/fax, adding machine).
MINIMUM QUALIFICATIONS
Graduation from high school or equivalent GED supplemented by courses in secretarial subjects; considerable progressively responsible experience in clerical and secretarial work; or any equivalent combination of training and experience that provides the knowledge, abilities, and skills;
 
PREFERRED
Bilingual: ability to communicate in Spanish both verbally and in writing
